We are thrilled to announce the successful completion of a significant project undertaken by our OMA Member Pickfords in collaboration with Northumbria Healthcare NHS Foundation Trust. This endeavor involved the relocation of one million patient case notes from two locations to a more spacious and efficient facility.

Challenges and Solutions
The existing storage space was running low, causing delays for our dedicated healthcare professionals who had to search for physical documents on crowded shelves. The team meticulously planned the relocation, ensuring sequential packing for easy tracking and accessibility during the move. Security was the top priority, and Pickfords implemented measures to prevent any losses during the process. The team also worked diligently within Covid-19 safety procedures, ensuring the utmost safety for everyone involved.

Phased Execution
The project was carried out in two phases to ensure a smooth transition. First, Pickfords moved around 168,000 planned merge case notes and carefully unpacked them at the new facility. The second phase involved the packing, moving, and unpacking of 817,000 case notes onto the new racking system. Each file was audited, sealed, and securely transported to prevent any damage.

Health and Safety First
Throughout the project, Pickfords prioritized the health and safety of all parties involved. The team strictly adhered to Northumbria Healthcare Trust’s regulations, including Covid-19 precautions, ensuring a safe environment for everyone.

Seamless Results
We are proud to report that the efforts resulted in the seamless relocation of the case notes, maintaining their sequence and ensuring no disruption to the hospitals or their staff within the specified deadlines.
